Notes from the door

Brightwheel pricing explained — the number that isn’t on the site

Updated 2026-08-25 · 6 min read

A sage-green vintage telephone with the handset off the hook on a gray desk beside a folder and a blank slip of paper.

Four phone calls. Three “it depends.” Still no number on a page you can screenshot.

Brightwheel does not publish its prices. You sit through a demo, and the quote usually depends on roster size and which bundle the rep assembles. Providers swapping notes online often report something in the ballpark of $1–$3+ per child per month, depending on plan and negotiation.

For a 12-child home daycare, that can land around $600–$900 a year for software whose price you could not see before the call. Their quote is theirs — ask them for today’s number.

What you’re actually paying for

Brightwheel is polished, and a lot of parents already know the name. You are paying for that familiarity, a mature parent app, and a large support organization. For a mid-size center, that can be worth it.

For a small program, three things sting: per-child pricing that grows when you fill seats, features that hide behind the same sales call, and setup that can stretch into onboarding calendars.

The published-price alternative

HappyGarden puts every plan on the website. Seedling is free forever for up to 4 children. Sprout is $49/month up to 12. Bloom is $149/month up to 50. Grove is a conversation because you are large — not because the price is a secret.

Paid plans include a 14-day trial. No credit card to start.

Screenshot the pricing page, then ask Brightwheel for a written quote at your actual roster. The comparison should not require a second meeting. The side-by-side, including rows where we mark our own gaps, is on HappyGarden vs Brightwheel.
